Congregational Administrator
Summary
Westside Unitarian Universalist Congregation in West Seattle is seeking a part-time Congregational Administrator to support the daily operations of our multigenerational, justice-centered spiritual community. This role is central to keeping our building, communications, and administrative systems running smoothly.
The Administrator is often the first point of contact for members, visitors, and community partners. We are looking for someone organized, tech-comfortable, collaborative, and warm—someone who enjoys supporting volunteers and coordinating the many moving parts of congregational life.

Key Responsibilities
Facilities & Building Coordination
- Serve as primary administrative coordinator for building operations, maintenance, safety, and security.
- Communicate with and support the Facilities team to ensure ongoing maintenance is completed and respond to building issues that arise.
- Manage contracts and leases for our tenants, event rentals, and vendors (including a pediatric occupational and speech therapy services practice , cell tower, and janitorial service).
- Offer some regular care of facilities: taking waste collection bins to the street weekly, restocking paper products, and putting de-icing agent on the parking lot during freezing conditions.
Communications & Membership
- Serve as the first point of contact (email, phone, in person) for external and internal inquiries.
- Produce weekly newsletter, the Westside Week, and other congregational communications.
- Maintain membership records and integrate newcomers into our online systems.
- Support congregational staff and volunteers with building access and administrative resources.
Administrative & Financial Support
- Assist Board, Stewardship, Auction, and Finance teams with regular reporting and management of online systems.
- Work with our bookkeeping contractor to annually update payroll, bill payment, and other systems.
- Support personnel with Human Resources administration including benefits enrollment, record-keeping, and compliance.
- Help manage pledge records and financial systems, in collaboration with our bookkeeper.
- Coordinate with the minister to support staff onboarding and maintaining HR systems.
Technology
We use church management, accounting, website, and communication platforms (including Google Workspace and standard office tools). Prior experience with specific systems is not required—ability and willingness to learn new technology is essential.
Opportunities for Advancement
We are looking for someone who is able to operate at the Manager Level (using the UUA Job Level Rubric). A highly competent Administrator may have the opportunity to grow into a Director Level position, taking on more leadership and authority in partnership with the Minister and other staff over the years.
Qualifications
- Familiarity with or openness to Unitarian Universalist communities and values*
- Strong organizational and communication skills, resourcefulness with problem solving
- Comfort learning and managing software systems
- Enjoy working with people and supporting volunteers
- Ability to make decisions with a lens of inclusion, accessibility, and equity
- Building/facilities experience strongly preferred
- Ability to lift 25 lbs and climb stairs occasionally

Position Details
Hours: 30 hours per week
The Administrator is expected to hold office hours three days per week minimum, with hybrid or remote options available for some weekly hours.
Salary: $45,600-$50,000 annually
